Privacy policy

How Terraxis Conseil collects, uses, communicates, keeps and protects the personal information sent to it through this website, by email or by telephone.

This English version is provided for convenience. In case of discrepancy, the French version prevails.

Who we are

Terraxis Conseil is the name under which 9572-9653 Québec inc. carries on its civil engineering business, at 5455 avenue de Gaspé, bureau 710, Montréal QC H2T 3B3, Canada.

This policy is published under the Act respecting the protection of personal information in the private sector (CQLR, chapter P-39.1).

Person in charge of the protection of personal information

Ahmed Mir, Eng. acts as the person in charge of the protection of personal information at Terraxis Conseil (Act, s. 3.1).

Information we collect

  • Contact form: your name, your phone number or email address (at least one of the two), the type of request and your message. The page from which the request is sent and the language of the site are sent with the message.
  • Email and telephone: the information you choose to give us (contact details, description of the project or problem, address of the property, plans or photos).
  • Technical data: like most web servers, the server hosting the site records connection data in its logs (IP address, date and time, page requested, browser type). To limit abusive submissions, the contact form’s server also temporarily keeps a non-reversible fingerprint of your IP address and the number of recent submissions.

We only ask for the information needed to handle your request. Please do not send us information that is not useful for it.

Why we use it

The information you send is used to handle your request and reply to you: understand your need, call you back or write to you, and tell you the next step. When a request becomes a mandate, the relevant information is added to the client file to carry out the mandate.

Technical data is used for the operation and security of the site. The site does not use your information to build a profile or for advertising purposes.

Communication to third parties and service providers

We only communicate your information to a third party with your consent or in the cases provided for by law (Act, s. 13).

To run the site and our email, we use the following service providers, which process information on our behalf, to the extent needed for their services:

  • Hostinger: hosting of the website and of the contact form;
  • Microsoft 365 (Exchange Online): email, including the messages sent through the form;
  • Cloudflare: domain name management (DNS) and protection of the site.

Depending on their infrastructure and their terms, some of these providers may process or store information outside Quebec.

Before personal information is communicated outside Quebec, the law requires a privacy impact assessment (Act, s. 17).

Retention and security

Requests that do not become a mandate are kept only as long as needed to answer them and assess the need. When a request becomes a mandate, the relevant information is added to the client file and kept in accordance with the applicable professional, contractual and legal obligations. Technical logs are kept according to the hosting provider’s settings.

When the purposes for which information was collected have been achieved, it is destroyed or anonymized, subject to a retention period provided for by law (Act, s. 23).

We take reasonable security measures given the sensitivity of the information, its quantity and its medium (Act, s. 10). Exchanges with the site are encrypted (HTTPS).

Cookies and audience measurement

The site itself sets no cookies and uses no audience measurement or advertising tool. Fonts and images are hosted with the site.

The Cloudflare protection service may, however, set technical cookies that are strictly necessary for the security of the site (for example, to tell visitors apart from bots).

If an audience measurement tool were ever added, this policy would be updated before it is activated.

Your rights

  • Access: find out whether we hold information about you and obtain a copy (Act, s. 27).
  • Rectification: have inaccurate, incomplete or equivocal information corrected (Act, s. 28).
  • Withdrawal of your consent to the use or communication of your information (Act, s. 8).
  • Information: on request, learn what information is collected, the categories of persons who have access to it within the business, how long it is kept and the contact details of the person in charge (Act, s. 8).

Access and rectification requests are made in writing to the person in charge of the protection of personal information, with proof of your identity. The person in charge replies in writing within 30 days of receipt (Act, ss. 30 and 32). Access is free of charge; reasonable fees may be charged for transcription, reproduction or transmission, after you have been told the approximate amount (Act, s. 33).

If you disagree with a decision, you may apply to the Commission d’accès à l’information for the examination of the disagreement within 30 days of the refusal or of the expiry of the time limit to reply (Act, ss. 42 and 43).

Confidentiality incidents

If we have reason to believe that a confidentiality incident has occurred, we take reasonable measures to reduce the risk of injury and to prevent new incidents of the same nature. If the incident presents a risk of serious injury, we notify the Commission d’accès à l’information and the persons concerned (Act, s. 3.5). Every incident is recorded in a register (Act, s. 3.8).

Governance and complaints

The person in charge of the protection of personal information ensures that this policy is applied and approves Terraxis Conseil’s practices regarding personal information (Act, s. 3.2): collection limited to what is necessary, access reserved to the people who need it to handle a request or carry out a mandate, retention and destruction as set out under “Retention and security”.

For any question or complaint about your personal information, write to the person in charge at [email protected]. We acknowledge receipt and follow up in writing.

Changes

Any change to this policy is published on this page, with its update date (Act, s. 8.2).
